How to audit your software and cut the extras

A plain checklist for finding which tools you pay for twice and which you can drop.

5 minute read

List every tool you pay for

Open your card statements for the last three months and write down each software charge. Include the small ones. Most people find two or three tools they forgot about.

Write what each one does for you

Next to each tool, write the job in a few words, such as 'sends my newsletter' or 'hosts my course videos'. If you cannot say what it does, you probably do not need it.

Find the overlaps

Look for jobs that appear twice. A booking tool and a CRM often both store the same contacts. An email tool and a course platform often both send email. Overlaps are where you pay twice and where data gets out of sync.

Check what breaks if you drop it

For each overlap, ask what you would lose. Be specific: a form that feeds a list, a reminder before a call, an invoice template. If UpStack or any other single tool covers those, you can drop the extra.

Move one thing at a time

Do not switch everything in a weekend. Move contacts first, then the booking link, then payments. Keep the old tool for a month in case you need to look something up, then cancel it.
