How to import contacts without making a mess

Clean the file, map the columns, tag the batch and check the result.

3 minute read

Clean the file first

Open your export in a spreadsheet. Delete empty rows, fix obvious typos in email addresses, and make sure each person is on one row. Remove people who unsubscribed or bounced, because you should not email them again.

Keep the columns you will use

You need an email address or phone number for each person. Name, company and any custom fields are useful. Delete columns you will never use, so the import screen is easier to read.

Map the columns

During the import, match each column in your file to a field in the CRM. Check the first few rows in the preview before you confirm.

Tag the batch

Add a tag that says where these people came from and when, such as 'imported-kajabi-nov'. If something looks wrong later, the tag lets you find the whole batch.

Check a sample

Open five contacts and make sure the name, email and fields landed in the right place. Search for a person you know to confirm there are no duplicates.
